Privacy Policy

This Privacy Policy describes how Tennis Courterly, operated in Portland, Oregon ("we," "us"), collects, uses, and shares personal information when you use our tournament registration and management service (the "Service"). This Policy applies to information collected through tenniscourterly.com, our admin tools, and the SMS messaging program described below.

1. Information we collect

Account and registration data: name, email address, phone number, NTRP rating, t-shirt size, and the tournaments and divisions you register for. For doubles, we also store partner information you provide.

Payment information: payment card details are collected directly by Stripe and are not stored on our servers. We retain a Stripe customer identifier, the last four digits of the card used, transaction amounts, refund history, and any discount or promotional codes applied.

SMS consent data: if you opt in to SMS, we record the opt-in timestamp, your IP address, your browser user agent, the exact text of the disclosure shown to you at the moment of consent, the disclosure version, and the consent method (checkbox at registration, partner profile update, STOP/START reply, or admin entry). We also record subsequent opt-outs and opt-ins. This audit trail is retained to demonstrate consent under the Telephone Consumer Protection Act (TCPA) and applicable state laws.

Tournament activity data: matches you play, scores, court assignments, schedule changes, waitlist actions, and withdrawal history.

Technical and usage data: standard server logs, IP addresses, browser type, pages visited, and timestamps. We use cookies only for authentication; see "Cookies" below.

2. How we use your information

To operate the Service: process registrations, charge payments, schedule matches, send confirmations, manage waitlists, and issue refunds.

To communicate with you: transactional emails about your registrations; if you opt in, SMS messages about registration, scheduling, and match notifications.

For safety and fairness: enforce USTA rules and the participant waiver, investigate disputes, and prevent fraud or abuse.

For legal compliance: meet tax, payment-processing, and SMS-compliance obligations, and respond to lawful legal requests.

3. How we share your information

We do not sell your personal information. We share information with the following categories of recipients only as needed to operate the Service:

  • Stripe — payment processing and refunds. Stripe''s handling of your payment information is governed by Stripe''s Privacy Policy.

  • Twilio — SMS delivery. If you opt in, your phone number and message body are transmitted to Twilio for carrier delivery. Twilio''s handling is governed by Twilio''s Privacy Notice.

  • Resend — transactional email delivery. Resend processes the destination email address and message content. Resend''s handling is governed by their Privacy Policy.

  • Supabase and Vercel — our database and hosting infrastructure. These vendors process personal information on our behalf under written agreements.

  • Tournament directors and venue partners — your registration details (name, NTRP, division, partner if doubles, and contact information) are shared with the director of any tournament you register for and, where necessary, with venue staff.

  • Legal and safety — we may disclose information when required by law, in response to valid legal process, or to protect the rights, property, or safety of Tennis Courterly, our users, or others.

We do not authorize any vendor to use your personal information for their own marketing purposes.

4. Retention

We retain registration and tournament records for as long as necessary to operate the Service and to comply with tax and regulatory obligations (typically seven years from the end of the tournament). SMS consent audit records are retained for the duration of consent plus a reasonable post-revocation period (typically two years) to support compliance with TCPA recordkeeping expectations. Server logs are retained for up to ninety days. You may request deletion of your data subject to these legal retention requirements.

5. Your rights

Depending on where you live, you may have the right to access the personal information we hold about you, request correction of inaccurate information, request deletion (subject to legal retention obligations), opt out of SMS by replying STOP, and lodge a complaint with a data protection authority.

California residents (CCPA/CPRA): You have the additional right to know what categories of personal information we have collected and shared, to receive a copy, to request deletion, and to opt out of the sale or sharing of personal information. We do not sell or share personal information for cross-context behavioral advertising.

To exercise any of these rights, email contact@tenniscourterly.com from the email address on your account. We will verify your identity before responding to a deletion or access request.

6. Children

The Service is not directed to children under 13. We do not knowingly collect personal information from children under 13. If you believe a child has provided us information, contact us and we will delete it.

7. Security

We use industry-standard administrative, technical, and physical safeguards to protect personal information, including TLS encryption in transit, encryption at rest in our database, role-based access controls for admin users, and audit logging of sensitive actions. No system is perfectly secure, however, and we cannot guarantee absolute security.

8. Cookies

We use a session cookie to keep you signed in to your player profile and admin panel. We do not use third-party advertising cookies and we do not allow third-party tracking. You can disable cookies in your browser settings, but doing so may prevent you from signing in.

9. Third-party links

The Service may contain links to third-party websites (USTA, partner venues, social media). We are not responsible for the privacy practices of those sites.

10. International users

Tennis Courterly is operated from the United States. If you access the Service from outside the United States, your information will be transferred to and processed in the United States. By using the Service you consent to this transfer.

11. Changes to this Policy

We may update this Privacy Policy from time to time. The current version and last-updated date appear at the bottom of this page. Continued use of the Service after changes constitutes acceptance.
